How Often Should Your Office Be Professionally Cleaned?
The short answer
Most offices should be professionally cleaned every business night, five days a week. On top of that, carpets, hard floors, and windows each need their own deeper schedule, from monthly to once a year.
That is the baseline we recommend to most of the 6,000+ customers we serve. The right schedule for your building depends on how many people come through it, what kind of floors you have, and what work happens there. Below is the schedule we typically start with, and the things that change it.
Every night: the everyday clean
The everyday clean keeps your office ready for the morning. It covers the spaces people touch and see most. Our technicians typically handle these tasks each night:
- Emptying trash and recycling, and replacing liners
- Wiping and disinfecting high-touch surfaces like door handles, light switches, desks, and break room counters
- Cleaning and restocking restrooms
- Vacuuming carpeted walkways and mopping hard floors
- Cleaning break rooms and kitchen areas
- Dusting reachable surfaces and interior window sills
Smaller offices with light traffic sometimes start at two or three nights a week. Most find that restrooms, kitchens, and trash need attention more often than that.
Weekly and monthly: the details that add up
Some tasks don’t need doing every night, but skip them for long and your office starts to look tired. We build these into a rotating schedule so they never fall through the cracks.
- Weekly: detail dusting of baseboards, vents, and high surfaces, plus a deeper clean of conference rooms and common areas.
- Monthly: buffing hard floors to polish out scuffs and scratches and keep that professional shine.
Your specialty cleaning schedule
Vacuuming and mopping keep floors looking good day to day, but they can’t reach everything. Foot traffic pushes dirt and allergens deep into carpet fibers, and floor finish wears down over time. Here is what we typically recommend:
| Service | How often we typically recommend it |
|---|---|
| Floor buffing | Monthly |
| Scrub and recoat | Every 6 months |
| Stripping and refinishing | Every 6 to 12 months |
| Carpet cleaning, high-traffic areas (entrances, hallways, lobbies) | Every 3 to 6 months |
| Carpet cleaning, offices and conference rooms | Every 6 to 12 months |
| Carpet cleaning, low-traffic areas | Every 12 to 18 months |
| Window cleaning | At least twice a year |
| Deep clean | Once or twice a year, plus as needed |
These are starting points, not rules. If your floors are only lightly worn, a scrub and recoat may do the job of a full strip. And deep cleans make sense any time something changes, like after construction, before reopening a vacant space, or after illness has gone around the office.
What changes the answer
No two buildings are the same. These are the factors that move a schedule up or down.
Foot traffic. More people means more dirt tracked in and more surfaces touched. A busy lobby needs carpet care far more often than a quiet back office.
Floor types. Carpet, vinyl, laminate, and hardwood each have their own care cycle. Many offices have a mix, so the schedule is built room by room.
Your industry. The work you do shapes what clean needs to mean.
- Medical offices typically need more frequent disinfecting of exam rooms, waiting areas, and restrooms, and close attention to the order surfaces are cleaned in. Our color-coded cleaning system keeps cloths and tools for restrooms separate from those used everywhere else.
- Financial offices often see clients face to face, so lobbies, conference rooms, and restrooms carry extra weight. Many also need cleaning done after hours by background-checked technicians.
- Schools and educational facilities have heavy traffic and lots of shared surfaces. Classrooms, hallways, and floors usually need more frequent attention during the school year, with deep cleans and floor work scheduled during breaks.
If green cleaning matters to your organization, our Green Star program is an option for any of these schedules.
Why consistency matters more than frequency
A great schedule only works if it happens the same way every night. The most common frustration we hear from facility managers isn’t that cleaning happens too rarely. It’s that it’s great one week and sloppy the next, because the crew keeps changing and nobody knows the building.
That’s why we assign dedicated technicians to your building. The same people come back night after night, so they learn your space: which conference room gets booked for early meetings, which entrance takes the most mud in winter, which desk needs to stay untouched. They take pride in that work, and you’ll notice.
Behind them is your regional office and a dedicated account manager. If something needs attention, you have someone to call who answers and follows through. You get to stop managing your cleaning company and get back to running your business.
Frequently asked questions
When should we schedule a deep clean? Once or twice a year as routine, plus any time something changes. Common triggers are construction, reopening a vacant space, or illness going around the office.
A schedule built for your building
We’ve been building cleaning programs for offices for 32+ years. When we walk your space, we look at your traffic, your floors, and how your team uses each room, then build a clear scope of work that our technicians follow every night.
